Terms of Use for the Digital Assistant / Chatbot

Welcome to the Digital Assistant/Chatbot service!

By accessing and using this service, the user explicitly and unreservedly declares that they are at least 18 years old, have read and understood the terms below, fully accept them, and acknowledge being bound by them. If the user disagrees with these terms or is underage, they must leave the service and refrain from further use.

A. Purpose of the Digital Assistant

The Digital Assistant (chatbot) is designed to help manage consumer inquiries, provide information about SARANTIS, our products, and handle complaints or comments. It operates using Artificial Intelligence (AI) technology to retrieve relevant information and deliver responses in a simple and comprehensible manner.

B. Transparency in Artificial Intelligence

In compliance with the European AI Regulation (AI Act), please note that our chatbot is an AI-based system. It is not a human representative, and its responses are generated based on predefined algorithms and data. While we strive to provide accurate and helpful information, chatbot responses may not always be complete, accurate, or up to date.

Although the Digital Assistant is designed to provide information, it does not replace professional advice, and the information provided should not be considered official guidance or scientific opinion. For critical issues, we strongly encourage you to consult a human representative or a professional. In case of emergency or health risks, please contact a healthcare professional or public authority.

Information provided via the Digital Assistant does not constitute financial, legal, or other advice, nor an encouragement or recommendation for any action. SARANTIS is not liable for how users act on information provided, as such actions are at their sole discretion.

D. Limitation of Liability

SARANTIS does not guarantee the availability, uninterrupted use, or access to the Digital Assistant.

While every effort is made to ensure the information provided through the Digital Assistant responds to users' questions and is complete, accurate, relevant and up to date, the Digital Assistant relies on algorithmic models, and therefore the absolute accuracy, completeness or adequacy of the answers provided is not guaranteed. SARANTIS is not liable for errors, omissions, or inaccuracies in the information provided or its use by users.

The Digital Assistant is continuously improved through internal training processes and user interactions. Your feedback is invaluable for enhancing its performance.

The Digital Assistant operates independently for each user session, preventing interference or simultaneous use by third parties.

E. Data Processed by the Digital Assistant

The Digital Assistant does not require personal data to answer your questions; users should refrain from submitting personal information.

If you wish to submit a query with your personal details or leave a message for us to contact you, please use the Contact Form available on our website.

The Digital Assistant processes the questions submitted by users through the application and the related answers, together with their submission times (date and time). This information is kept for a period of thirty (30) days.

In case you include personal information in your questions, we inform you that we take technical and organizational measures to ensure the protection of personal data and privacy of users and that in any case all communication data is deleted after a period of thirty (30) days. For instance:

• Your chat history is deleted from the browser's temporary memory as soon as you close the tab.
• The Digital Assistant is hosted through a third-party provider on AWS infrastructure. Both providers comply with the General Data Protection Regulation (Regulation (EU) 2016/679).
• Chat logs are stored for a maximum of 30 days solely to train and optimize the Assistant and prevent misuse.
• Data used to train the Assistant is not transferred outside the hosting infrastructure or used for training other AI models.

No automated decision-making or user profiling occurs during the use of the Digital Assistant.

F. User Responsibilities

The Digital Assistant must be used solely for lawful purposes and in a manner that does not restrict or hinder others' use. Users must comply with applicable national, European, and international laws as well as telecommunication laws and avoid any illegal or abusive behavior that may harm or cause malfunction to the Digital Assistant or SARANTIS. In such cases SARANTIS is entitled to refuse to exchange information and data with the user.

Users must not exchange messages containing illegal, unethical, or defamatory content about SARANTIS or its employees. Such content and the relevant information are the product of the users’ will, concern their person and are subject to their exclusive responsibility. SARANTIS cannot verify the accuracy or legality of user-generated content as posted and transmitted by the user, as well as cannot be considered to accept or endorse in any way the personal ideas and perceptions of any user expressed through the Digital Assistant or to be responsible for their acts or omissions, nor for any damage or harm caused by them to any third party.

Without prior written permission from SARANTIS, users are prohibited from modifying, publishing, transmitting, reproducing, distributing, or otherwise exploiting the Digital Assistant's content in any way or means, for commercial or other purposes, otherwise, the users accept that they are liable to compensate SARANTIS and to hold SARANTIS harmless.

If SARANTIS incurs legal disputes or compensations due to user violations, the user must indemnify SARANTIS for such liabilities.

G. Validity of Terms

These terms complement the Privacy Policy and Terms of Use of www.sarantisgroup.com, which also apply to the Digital Assistant. In case of conflict, the present terms take precedence.

SARANTIS reserves the right to modify these terms anytime, without prior notice by posting updated terms on its website or to discontinue the Digital Assistant's service, in whole or in part, at its discretion, with prior notice on its website.
